Privacy notice resident engagement and consultation

Our resident engagement and consultation privacy notice explains how we use your personal information and tells you about your privacy rights and how the law protects you.

Information we collect

We collect information so we can manage your tenancy, maintain your home and offer engagement and consultation activities.

While you are a tenant, we’ll ask you for the following essential information:

  • personal details including your current name, date of birth, address and gender
  • phone number, e-mail address

Some of the information your provide is optional

  • ethnicity 
  • disability, if applicable 

Why we collect this information

We collect and use your personal data as the council is required to carry out certain engagement and consultation activities which are considered to be in the public interest.

We use your data to ask if you would like to take part in engagement or consultation activities that may be of interest to you, and to deliver you key messages about our service.

From time to time, we use a messaging service to deliver key messages, inform you about engagement opportunities, and inform you about our resident magazine.

You can opt out of receiving these messages or being contacted about consultations by contacting resident.engagement@arun.gov.uk

You are not obliged to provide any special category data in response to a consultation and/or engagement.

If you do disclose this type of information, the council is able to process it as this function is considered to be of substantial public interest.

Where we do ask for personal information the reason will be clearly specified and no information collected will be used to identify or contact you unless this is clearly specified.

Who we might share your information with

Your personal information relating to consultation and engagement activities will not be shared with any external companies, and personal information will be anonymised so individuals cannot be identified in reports or other publicly available information.

What we do with your information

The information provided in response to engagement and consultation activities will be used to make improvements to our services and to evidence compliance with the Regulator for Social Housing Consumer Standards.

We will use any personal information to see how representative the feedback is of Arun District Councils tenant base.

In accordance with the data protection laws, we need a "legal basis" for collecting and using information about you. There are a variety of different legal bases for using personal data which are set out in the data protection laws.

Legal obligation: The processing is necessary for us to comply with the law

Legitimate interests: The processing is necessary for our legitimate interests or the interests of a third party

How long we will keep your information

We will keep your information all the time you have a tenancy with us. When your tenancy legally ends, we will keep your information for a further 6 years, after which it will be destroyed.
